Job Summary
Responsible for providing support to the Nutrition and Food Services Team by assisting with daily operational functions, clerical processes, and maintenance of required records and systems. Supports the coordination of food delivery to classrooms in alignment with CACFP requirements, Head Start Performance Standards, KidKare agency work plans, and other applicable federal guidelines. Works within established procedures to make nonroutine decisions, performs intermediate troubleshooting or analysis, and interprets information using generally prescribed methods. Engages in frequent interactions to provide basic information and occasional detailed procedural explanations or technical responses.
Responsibilities/Essential Functions
- Maintain department records by attaching, organizing, and monitoring required documentation, including CACFP paperwork, dietary statements, and related child files. Ensure that all records are accurate and complete to demonstrate that compliance measures are being met.
- Coordinate record requests with medical providers by sending requests, following up on incomplete or missing responses, and obtaining clarification or additional required documentation.
- Maintain and monitor Release of Information (ROI) records, including tracking missing forms, communicating follow-up needs to schools and relevant teams, and retaining required hard-copy documentation.
- Support CACFP compliance and food service quality by conducting meal observations, completing kitchen check-ins, identifying concerns, and following up with classroom staff and teachers as needed.
- Communicate with families and medical providers regarding food alerts, food watches, special diet concerns, and qualifying medical statements to support accurate dietary accommodations for children.
- Collect, review, and correct required parent and program documentation, and provide day-to-day support to school sites on CACFP processes, regulatory requirements, and document compliance.
- Support the Nutrition Team with administrative functions for KidKare, Child Plus, Food Service vendors, and school documentation collection as needed.
- Support Registered Dietitian with menu translations and any additional translations as needed to support food service partnership needs.
- Perform other duties as assigned or requested.
Required Education/Experience
- 3 years of business-related experience required. Associate's Degree preferred.
- Strong proficiency in the Microsoft Office suite is required, including, but not limited to, Word and Excel.
- Experience must include the following areas of responsibility: monitoring data, regulatory compliance, auditing information, data input/retrieval, and report compilation.
- Experience with budget and expense tracking preferred.
- Bilingual (English/Spanish) preferred.
Knowledge/Skills/Abilities
- Must have proven successful interpersonal relationship skills to maintain effective and satisfactory working relationships with intra-department and inter-department staff, vendors, clients, visitors, and contractors.
- Ability to follow oral and written instructions with the ability to read, interpret, and present information efficiently and effectively.
- Must be able to accurately audit records and ensure compliance with written or oral guidelines.
- Ability to take initiative, multi-task, and work well under pressure.
- Must maintain strict confidentiality of sensitive data, records, files, conversations, etc.
- Intermediate-to advanced MS Office skills and database software skills.
- Advanced organizational skills, efficiency skills, and excellent attention to detail with a demonstrated commitment to completing assignments on a timely basis.
- Working knowledge of accounting and budgeting practices is helpful/preferred.
Work location
In-person work and collaboration are requirements for this position. Employees are expected to physically report to the assigned work site as scheduled by the supervisor. At the agency's discretion, this position may be allowed to engage in remote work for specified periods of time or a determined percentage of the work schedule; however, this is not guaranteed. Temporary remote workdays may be approved for circumstances such as, but not limited to, inclement weather, special projects, or travel. These arrangements are approved on an as-needed basis, with no expectation of ongoing continuance. All remote work arrangements are made on a case-by-case basis, focusing first on the business needs of the organization.
Essential Physical & Mental Requirements
Work is a normal office environment. Employees are subject to standing, stooping, walking, lifting, and carrying objects throughout daily job performance. Intermittent effort involving lifting amounts between 5 and 25 pounds is required. Work requires moderate attention to detail and deadlines between 15% and 45% of the time. Driving is required frequently, with exposure to normal traffic hazards.
