Pay: $24.00-$31.75/hour DOE

Overview

We are partnering with a well-established behavioral health organization to identify an Executive Assistant who will serve as the right-hand support to the Chief Financial Officer. This role is ideal for a polished administrative professional who thrives in a fast-paced environment, enjoys working behind the scenes, and can be trusted with highly confidential information.

The Executive Assistant will play a critical role in keeping the CFO organized and operating efficiently through calendar management, document preparation, data entry, reporting, and executive-level administrative support. The ideal candidate is proactive, detail-oriented, highly organized, and comfortable taking initiative with minimal direction.

This is a fully onsite position based in Gardena and offers the opportunity to work closely with executive leadership while supporting the organization's financial and operational functions.

Key Responsibilities
  • Provide high-level administrative support to the Chief Financial Officer
  • Manage executive calendars, scheduling, and meeting coordination
  • Prepare meeting agendas, minutes, reports, memos, and correspondence
  • Perform high-volume data entry and maintain accurate records
  • Create, update, compare, and format Excel spreadsheets and reports
  • Cross-reference data across multiple spreadsheets and documents
  • Maintain confidential files, records, and executive documentation
  • Answer inquiries and provide administrative support to internal and external stakeholders
  • Coordinate travel arrangements, conference registrations, and related logistics
  • Assist with expense tracking, documentation, and reconciliation
  • Organize and maintain filing systems and departmental records
  • Support special projects and ad hoc administrative requests as needed
  • Serve as a trusted business partner to the CFO by taking ownership of tasks and following through independently
Required Qualifications
  • Minimum 2+ years of Executive Assistant, Administrative Assistant, or related administrative support experience
  • Previous experience supporting senior leadership or executive-level professionals
  • Strong data entry skills with exceptional attention to detail
  • Advanced Microsoft Office proficiency, including:
  • Ability to create, edit, compare, and format spreadsheets accurately
  • Excellent written and verbal communication skills
  • Strong organizational, prioritization, and time management abilities
  • Experience handling confidential and sensitive information
  • Ability to work independently and exercise sound judgment
  • Stable work history with demonstrated longevity in prior roles
Preferred Qualifications
  • Bachelor's Degree
  • Experience supporting finance, accounting, or executive leadership teams
  • Basic accounting or bookkeeping experience
  • Experience with grant-funded organizations or nonprofit environments
  • Familiarity with Microsoft Copilot
  • Experience preparing board materials, meeting minutes, and executive communications
