We are seeking a Management Analyst - Program Operations & Document Control to support our customer at NSWC Crane, Indiana. This position provides program operations, document control, quality support, meeting coordination, visitor support, and general organizational assistance across Department, Division, Branch, Section, and project activities. The successful candidate will support program execution by tracking actions and deliverables, preparing status reports and briefing materials, coordinating meetings and events, maintaining controlled technical documentation, and supporting Engineering Change Proposal and document-release processes. The position also supports the Division Quality Team, visitor-access activities, organizational communications, data calls, and backup travel coordination. This role requires in-person support. Duties: Program Operations and Management Support
- Support program and project operations designed to meet established cost, schedule, performance, and deliverable requirements.
- Track program actions, milestones, assignments, deliverables, suspense dates, and completion status.
- Prepare recurring and ad hoc status reports for program and organizational stakeholders.
- Identify approaching or overdue actions and coordinate with responsible personnel to obtain current status.
- Attend program events, meetings, reviews, and briefings as required.
- Develop and maintain briefing materials, presentations, charts, reports, and other management products.
- Collect, organize, validate, and maintain information supporting program reviews, data calls, metrics, and management decisions.
- Assist the Division Quality Team with memoranda of agreement, metrics, data calls, and other official documents.
- Provide backup support for Government travel coordination when the designated travel coordinator is unavailable.
Document Control and Configuration Support
- Provide document-control support in coordination with the Division Quality Team and applicable configuration-management personnel.
- Upload documents and assign control numbers in iPDM and other Government-approved systems.
- Process and maintain documentation associated with:
- Engineering Change Proposals
- Deviations and waivers
- Engineering drawings
- Change requests
- Technical documents
- Quality and program records
- Receive, review, log, route, release, remove, reproduce, and distribute controlled documents.
- Maintain automated document logs, revision records, release status, distribution records, and master copy-holder lists.
- Verify that document numbers, metadata, revisions, approvals, markings, and distribution information are complete and accurate.
- Coordinate with document authors, reviewers, quality personnel, and configuration-management stakeholders to resolve deficiencies.
- Maintain document traceability and ensure records are retained in accordance with Government processes.
- Protect classified, Controlled Unclassified Information, proprietary, and distribution-controlled material in accordance with applicable requirements.
The SOW requires disciplined configuration management, including control of system changes and nonconformances, analysis and processing of ECPs, and review of deviations and waivers for their effects on technical documentation, production, operations, and logistics. Meeting and Conference Support
- Schedule conference rooms using Outlook, SharePoint, or other approved scheduling tools.
- Resolve scheduling conflicts in accordance with organizational processes and customer priorities.
- Ensure meeting rooms have the required supplies, equipment, connectivity, and logistical support.
- Prepare and distribute meeting announcements, invitations, agendas, read-ahead materials, and related documents.
- Attend meetings when required and prepare accurate minutes, notes, decisions, and action-item records.
- Distribute approved meeting records and track assigned actions through completion.
- Coordinate logistical requirements for meetings, tours, demonstrations, and special events.
Visitor and Event Coordination
- Support visitor-request processes to ensure appropriate personnel are authorized to access Government buildings and controlled spaces.
- Assist with internal and external visitor badging in accordance with NSWC Crane procedures.
- Coordinate visitor schedules, arrival information, access requirements, points of contact, meeting locations, and logistical needs.
- Support VIP tours, demonstrations, program reviews, and customer events.
- Provide visitor escorting and monitoring when authorized and required.
- Assist with tour or event planning by identifying and documenting locations, schedules, attendees, access requirements, activities, equipment, and required materials.
Organizational Support
- Provide administrative and operational support across customer Department, Division, Branch, Section, and project organizations.
- Support organizational telephone coverage by answering incoming calls, routing inquiries, forwarding calls, and recording and delivering messages.
- Maintain current organizational phone listings and point-of-contact information in Microsoft Teams and other approved locations.
- Respond professionally to routine inquiries and direct technical or programmatic questions to the appropriate personnel.
- Maintain accurate records and support organizational continuity during high-priority meetings, visits, and customer events.
Desired Education:
- Bachelor's degree in Business Administration, Management, Project Management, Operations Management, Information Management, or a related discipline.
Desired Experience:
- 3+ years of relevant professional experience in program support, management analysis, document control, records management, configuration management, or Government-contract operations.
- Experience tracking program actions, deliverables, milestones, schedules, and status.
- Experience preparing briefings, presentations, status reports, meeting minutes, agendas, and formal correspondence.
- Experience receiving, logging, routing, controlling, releasing, and distributing official documents.
- Understanding of document numbering, revision control, approval workflows, records retention, and controlled distribution.
- Strong proficiency with Microsoft Word, Excel, PowerPoint, Outlook, Teams, and SharePoint.
- Ability to learn and operate Government document-control, information-management, and workflow systems.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple deadlines, meetings, documents, and customer requirements simultaneously.
- Ability to interact professionally with Government personnel, contractors, visitors, and senior leaders.
Preferred Qualifications:
- Experience supporting the Department of Defense, Department of the Navy, NAVSEA, or NSWC Crane.
- Experience using iPDM, or comparable Government document-management systems.
- Familiarity with Engineering Change Proposals, deviations, waivers, engineering drawings, change requests, and configuration-controlled technical data.
- Experience supporting ISO 9001 or comparable quality-management processes.
- Familiarity with document-control audits, records-management requirements, and quality-system activities.
- Experience preparing or maintaining MOAs, metrics, SOPs, data calls, and official Government documentation.
- Experience coordinating visitor requests, badging, escorts, VIP tours, demonstrations, or controlled-facility access.
- Experience supporting Government travel coordination.
- Familiarity with CUI markings, distribution statements, classification requirements, and controlled-document handling.
- Active Secret security clearance.
Work Environment This position is primarily performed on-site in an office and controlled Government-facility environment at NSWC Crane. The employee must be available to support scheduled meetings, visitor arrivals, tours, demonstrations, and organizational events during normal operating hours. Occasional schedule adjustments may be required to support high-priority customer activities. Must be able to obtain and maintain a Secret security clearance.
