About the Role: The R.E. Michel Company is a national wholesaler of HVAC/R equipment and supplies. We are looking for an organized, enthusiastic team member to support the Property Department and Legal Department. This position will report directly to the Property Manager but will also work closely with In-House Counsel. What You'll Do: Legal Assistant:
- Receive service of process of all legal documents/filings/subpoenas/orders and direct them to appropriate department within company.
- Assist In-House Counsel with commercial real estate transactions, including drafting purchase agreements and addenda, ordering and reviewing due diligence materials, following up with real estate partners, drafting third party lease agreements, and reviewing easements and right-of-way acquisitions.
- Maintain updated list of registered agents, entities, and additional insureds with CT Corp and insurance companies.
- Investigate, submit, and oversee claims for damage from third parties.
- Review all legal claims asserted against company and assist Counsel with the investigation, administration, and resolution of all claims, to include personal injury claims and product liability claims.
- Assist Legal Department with administrative tasks, correspondence, filing, organization, etc...
- Assist Legal Department with responding to subpoenas and discovery requests.
- General litigation support.
- Other duties as assigned.
Property Assistant:
- Locate and identify commercial real estate properties to purchase and/or lease throughout the United States using online real estate search tools.
- Obtain and review due diligence materials for real estate purchases.
- Confirm zoning for real estate purchases.
- Update lease abstracts with landlords.
- Review and/or draft commercial leases and addenda/amendments.
- Review and process utility bills and real estate taxes.
- Review and reconcile invoices related to real estate interests.
- Update and review all databases and records of real estate interests.
- Assist Accounting Department with statements of value/baseline values for real estate interests.
- Appeal real estate tax assessments when appropriate.
- Monitor vacant properties.
- Oversee leasing of commercial property to third party tenants, to include marketing property, screening potential tenants for creditworthiness, and preparation of commercial leases.
- Monitor all public notices and projects which impact real estate interests and/or branch operations.
- Review all easements, right-of-way acquisitions, and condemnations.
- Review and investigate property damage claims affecting the company's real estate interests.
- Assist and support Property Manager, others in the Property Department, and the Facilities Department.
- Other duties as assigned
What We're Looking For:
- Must be able to read, write, and communicate in English fluently and effectively.
- Minimum of 2 years' experience as legal secretary or legal administrator in law firm or in legal corporate setting. Familiarity with commercial real estate transactions, employment law, contracts, and personal injury law preferred.
- Minimum of 2 years' experience in commercial real estate required; general understanding of and experience with commercial real estate transactions.
- Comprehension of legal processes, legal terminology, and administration of insurance claims.
- Strong organizational skills with extreme attention to detail; thorough in documentation.
- Strong professional business letter writing and verbal correspondence.
- Understanding of the necessity of multiple review processes. Ability to collaborate on multiple reviews & edits to documents. Ability to implement input/feedback from Property Manager & Legal Admin.
- Ability to work with a sense of urgency; excellent time management skills.
- Ability to understand and carry out industry specific written and oral direction.
- Strong analytical, evaluation & research skills. Positive innovative approach to problem solving.
- Ability to exercise judgment and discretion. Must be professional at setting priorities and coping with competing demands.
- Optimum use of resources, cost-effective methods/procedures and cost reduction efforts.
- Ability to follow up to ensure completion of various assignments simultaneously.
- Excellent verbal & written communication skills to effectively correspond with contractors, landlords, realtors, all levels of management, branch personnel, municipal/government personnel and other professionals.
- Ability to keep information confidential. Breach of confidentiality is grounds for dismissal.
- Proficient with Microsoft Word, Excel & Outlook. Able to complete business mathematical functions.
- Travel may be required. Valid driver's license and current automobile insurance is required.
