Job Title: Training Support Manager Location: Beale AFB FLSA Job Summary: Perform administrative duties related to the Initial Qualification Training (IQT) program at Beale AFB CA including student in processing, out processing and lodging. IQT training material review, development, course evaluation, feedback processing and other duties as assigned. Responsibilities Essential Duties and Responsibilities: The core duties of this position are organized into key functional areas to ensure administrative efficiency and operational clarity. Student Administration & Coordination Team Leadership: Support the 7 SWS IQT team. Onboarding & PII Protection: Interface with new IQT students to obtain, utilize, and protect their Privacy Act / Personally Identifiable Information (PII)-including full name, date of birth, social security number, losing unit, gaining unit, cell phone number, and NIPRNet email-no later than one business day of initial contact. Student Liaison: Provide new students with a primary point of contact prior to arrival, delivering base, site, and class-specific IQT information. Funding & Logistics: Prepare student fund cite letters and coordinate with both the Delta 4 Resource Advisor (RA) and the on-site RA. Lodging Coordination: Partner with the on-site lodging office to reserve rooms for future class dates and edit existing lodging reservations. Provide timely updates on student counts requiring reservations. Student Welcome & Communication: Provide an IQT Welcome Letter to each student and develop Class Recall Rosters. Training Guidance, Materials & Aids Training Guidance: Assist in drafting, updating, maintaining, standardizing, and cataloging training guidance. This includes, but is not limited to: Annual Training Plan (ATP) Initial Plan of Instructions (IPOIs) Higher headquarters guidance pertaining to training programs Instructional Aids: Assist in drafting, updating, maintaining, standardizing, and cataloging training aids and products to meet training guidance requirements (including lesson plans, lesson slides, and simulator aids/materials). Feedback, Evaluations & Performance Tracking Record Keeping: Update, maintain, and catalogue AF Form 4419s for each student upon course completion to augment instructor feedback. Performance Databases: Maintain a digitized catalogue of student performance. Instructor Collaboration: Work closely with the lead IQT instructor to document instructor notes, student evaluations, and specific weakness areas. Course Evaluation & Debriefs: Attend student feedback sessions with the lead IQT instructor to update, maintain, and catalogue course feedback (ensuring end-of-course feedback sessions are consistently completed). Feedback Repository: Continually update and maintain a feedback repository. Operational Dialogue: Update and maintain recurrent dialogue with training representatives of each UEWR regarding operational performance; record any gaps identified between baseline UEWR IQT and follow-on site-specific certification training and operations. Class Scheduling & Placement Course Placement: Coordinate student placement in classes based on forecasted instructor outages and projected student enrollment. Program Administration & Additional Duties Unit Records: Serve as the Unit Records Management Point of Contact (POC). Knowledge Management: Manage the local Knowledge Management (KM) Program. Company Training Program Ancillary & General Tasks: Complete required ancillary training. Perform general housekeeping duties within the work area. Execute other duties as assigned. Qualifications Required Skills/Experience:
Professional Experience: Minimum of five (5) years of administrative experience in training management and development, including the handling and safeguarding of Privacy Act Information and Personally Identifiable Information (PII).
