Make your mark for patients

We are looking for an organized, collaborative, and detail-oriented Administrative Assistant to join our Global Pharmacovigilance team, based in our Research Triangle Park (RTP), North Carolina office.

About the role

You will provide comprehensive administrative and operational support within a global, regulated function. You will coordinate meetings, travel, documentation, communications, onboarding, purchasing activities, contracts, and shared information. Your attention to detail, discretion, and ability to collaborate across regions will help the team deliver accurate, timely, and compliant support.

Who you'll work with

You will work closely with department leaders, team members, and global stakeholders. You will also collaborate with Finance, Procurement, Legal, external vendors, and healthcare professional consultants to coordinate activities and resolve administrative or process-related issues.

What you'll do

  • Coordinate complex meetings, schedules, materials, technology, catering, and follow-up activities
  • Arrange domestic and international travel, accommodations, documentation, and detailed itineraries
  • Support employee onboarding, offboarding, shared mailboxes, and departmental records
  • Coordinate purchasing requests, vendor set up, contracts, invoices, and consultant payments
  • Maintain accurate trackers, reports, collaboration sites, and inspection-ready documentation
  • Prepare departmental communications, leadership updates, newsletters, metrics, and meeting materials

Interested? For this role we're looking for the following

Minimum requirements

  • Bachelor's degree or an equivalent combination of education and relevant experience
  • 3-5+ years of administrative assistant experience supporting at least 10 employees in a global environment
  • Digital fluency: Uses Outlook, Teams, Excel, Word, SharePoint, Copilot, and relevant internal systems effectively while validating outputs for accuracy and completeness
  • Demonstrated success handling confidential information within a regulated environment
  • Strong written and verbal communication skills in English
  • Ability to manage competing priorities independently with accuracy/attention to detail, comfortable dealing with a changing environment and shifting priorities
  • Demonstrated ability to independently manage multiple priorities, deliverables, and ensuring work progresses efficiently from initiation to completion
  • Proven experience maintaining organized tracking tools, communicating timely updates to stakeholders, and proactively escalating issues with proposed solutions to mitigate risks and avoid delays

Preferred requirements

  • Administrative experience within the pharmaceutical or research and development industry
  • Experience supporting finance, procurement, contract review, or vendor-management activities
  • Proficiency with Adobe, Concur, MobileXpense, or comparable expense-management systems
  • Flexibility to occasionally work outside typical U.S. business hours

This position's reasonably anticipated base salary range is $63,200-$83,000. The actual salary offered will take into account related knowledge, skills, experience and location among other factors and may fall outside the expected range.
