Primary Purpose of Position
The primary purpose of the Inventory Control Specialist position within the Learning Space Technology team at UNC Charlotte is to provide inventory management for all items that are procured, installed, and supported by the AV Integration and Classroom Support Teams. This position requires previous experience maintaining inventories, ordering and supplying necessary project items while maintaining accurate records of all procurements. The Inventory Control Specialist will monitor and track current inventory levels, equipment orders, and investigate problems with vendors to navigate supply chain demands and issues. This position will also maintain and update the database used for physical count of inventory and the reconciliation of actual stock count to generated reports. This team is directly responsible for managing the University's 475+ learning spaces, common spaces, and digital signage, which requires the ordering of a minimum of $2M worth of inventory annually, tracking of each piece of equipment, and working with both Capital Projects for inventory needed for all new buildings and the Business Operations team for funding of projects. Larger capital projects for new buildings or building renovations include ordering and tracking inventory for million-dollar projects, a requirement of this position.

High school diploma or equivalency.

Essential Job Duties
The Inventory Control Specialist provides inventory management for all items that are procured, installed, and supported by the AV Integration and Classroom Support Teams as part of Learning Space Technology, reporting to the Digital and Professional Learning Unit. This position requires previous experience maintaining inventories and ordering and supplying necessary project items while maintaining accurate records of all procurement. The Inventory Control Specialist will monitor and track current inventory levels and equipment orders, and investigate problems with vendors to navigate supply chain demands and issues. This position will also maintain and update the database used for the physical count of inventory and the reconciliation of actual stock count to generated reports.
This position reports to the team that is directly responsible for managing the University's 475+ learning spaces, common spaces, and digital signage, which requires the ordering of a minimum of $2M worth of inventory annually, tracking of each piece of equipment, and working with both Capital Projects for inventory needed for all new buildings and the Business Operations team for funding of projects. Other Work Responsibilities

  • Receive and inventory all purchased equipment for the Learning Space Technology Department.
  • Utilize Smartsheet and other departmental tools, including spreadsheets and project management software, to ensure all items are received and accounted for.
  • Work with the Business Services Unit to complete all purchase orders, follow up on any order issues, and work to resolve them promptly. Follow up with vendors on any missing, damaged, or incorrect items.
  • Process all departmental returns for repair or replacement (RMA process).
  • Create, apply, and track all equipment through the use of the department's inventory system using the custom inventory barcode labels.
  • Coordinate with the University's Fixed Assets Department to tag and track all pilferable items.
  • Gather, sort, stage, and prepare parts and equipment for installation.
  • Create support tickets to request device network configuration, authorization, and PC imaging for all new devices.
  • Use Smartsheet and Excel to create inventory reports for the department.
  • Serve as the primary surplus coordinator for all equipment, working with the campus surplus department to transfer all end-of-life equipment.
  • Register products for warranty registration and track equipment warranties.
  • Answer departmental phone calls and respond to emails as required.

Departmental Preferred Experience, Skills, Training/Education

  • Experience working with inventory tracking and vendor relations in a material management or material procurement role with strong analytical, problem-solving, organizational, and execution skills, with demonstrated ability to maintain accurate equipment inventories in a high-volume technical or operational environment.
  • Demonstrated ability to manage multiple priorities, adapt to changing requirements, meet deadlines, and collaborate effectively with technical teams, vendors, and multiple stakeholders.
  • Experience using Smartsheet or similar work management software and Microsoft Excel to organize, reconcile, analyze, and report inventory or procurement data.
  • Experience with inventory control processes, including receiving, asset tracking, barcode or RFID tagging/labeling, physical inventory reconciliation, equipment returns/RMAs, and associated inventory tagging or label-printing systems.
  • Experience working in a higher education environment, including procurement, inventory, or asset management systems; experience with UNC Charlotte systems and processes, including 49erMart, is preferred.
