Summary:

The Administrative Assistant provides part-time administrative and organizational support to leadership and project teams. This entry-level position assists with scheduling, travel coordination, document preparation, and basic project and contract tracking. Training will be provided, making this an excellent opportunity for a recent college graduate or individual with internship experience who is organized, detail-oriented, and eager to learn.


Responsibilities

Essential Job Functions:

  • Maintain and manage leadership schedules, Bid & Proposal (B&P) schedules, travel coordination, and other project-related schedules.
  • Provide administrative support for Government contracts, including tracking contract hours, burn rates, and costs compared to budget.
  • Assist with document preparation, editing, formatting, and other administrative activities.
  • Maintain organized records, files, and tracking documents.
  • Assist with data entry, research, and other administrative tasks as needed.
  • Support leadership and project teams with special assignments and other administrative needs.
  • Perform other duties as assigned.

Qualifications

Necessary Skills and Knowledge:

  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and meet deadlines.
  • Proficiency with Microsoft Office applications.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Willingness to learn new systems, processes, and procedures.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Previous internship, administrative, office, or related experience preferred.

  • Ability to pass a background check

Preferred Qualifications:

  • Associate's or bachelor's degree in business administration, management, communications, or a related field.
  • Experience with scheduling, travel coordination, document preparation, or data tracking.

  • Familiarity with Microsoft Excel, including basic formulas and spreadsheets.
