Payroll Associate II

SHIFT:

Under general supervision, the Payroll Associate II works in various payroll queues to ensure the accurate processing and payment of employee payroll data. Assumes additional responsibilities assigned by the Payroll Specialist, Manager, or Director on an ongoing basis, in addition to completing Payroll Associate II responsibilities.

Provides tier-one support for all Payroll policies, processes, and programs and serves as the first point of contact for Payroll customers via phone, email, and chat.

The ideal candidate will possess excellent interpersonal, listening, verbal, and written communication skills; be detail-oriented; and interact effectively with staff and management at all levels.

What you will do

• Acts as first point of contact for Payroll customer requests (inquiries and issues) and escalates to appropriate channel when required
• Maintains customer contact until request is resolved, including informing customer of status and resolution. Provides accurate, consistent, and timely responses to Payroll requests that are considered to be routine requests and require limited research.
• Utilizes knowledge base tool to provide consistent answers to customers and let's manager know if additional knowledge articles are needed.
• Educates customers on best practices and tools (e.g., Service Portal, ESS, MSS) available
• Supports a continuous improvement environment by raising issues, escalating concerns and being an agent of change
• Maintains adherence to all audit/compliance and regulatory requirements
• Keeps pace in a rapidly changing environment while maintaining strong knowledge and a positive attitude
• Contributes positively to the team through the sharing of knowledge, ideas, and active participation in meetings
• Transaction Processing - processes a variety of transactions affecting the payroll output including, but not limited to, retroactive salary increases/decreases, payroll deductions, PPL payout does to FTE changes and creating EIBs. Rehire, terminations and historical timecard edits (including on demand payments). Running edit reports in our Time and Attendance system to ensure accurate payments.
• Absence processing - manual accrual adjustments needed when employees are not eligible for an accrual, receives an off-cycle payment for a time off, uses PPL in advance, or has an FTE change and due a PPL payout.
• Banking processing - when employee payments are returned to CHOP, they will reach out and help the employee fix their banking information and submits this information to be voided and reissued. Places stop payments at the request of employees.
• Check sealing, applying postage, and walking to the Post office. (Every Wednesday at Cira)
• Handles the mail. Open, sort and fax to the appropriate person.
• Internal Control- reviews daily reports from HCM department, runs audit reports from time and attendance and payroll systems, monitors ESS input for direct deposit and W4 forms.
• Provides training and follow up support for the scheduling and timekeeping applications in the time and attendance system. Provides training to any incoming Payroll Associate II or III.
• Completes complex data requests from external customers (Union, Government agencies, Workmen's Comp) as well as special work

Education Qualifications

• High School Diploma / GED Required

Experience Qualifications

• At least three (3) years experience in Payroll Required
• At least three (3) years in Payroll in Hospital setting Preferred
• At least three (3) years experience with Workday Payroll Preferred
• At least three (3) years experience with Kronos or UKG WFM Time and Attendance System Preferred
