Position Overview

NRI Staffing is seeking a polished, proactive, and experienced Assistant Property Manager for a direct-hire opportunity supporting a premier Class A commercial office property in downtown Washington, DC.

This position is ideal for a commercial property management professional who is ready to take the next step in their career and grow toward a Property Manager role. The Assistant Property Manager will be actively involved in the property's day-to-day operations, tenant relations, financial administration, facilities coordination, vendor management, tenant communications, and special events.

The successful candidate will be comfortable working in a fast-paced, high-touch environment, able to think on their feet, make sound decisions, solve problems quickly, and maintain a consistently polished and professional presence.

This is a highly visible, 100% on-site position. Because the property serves a sophisticated Class A tenant base, professionalism, strong communication skills, attention to detail, and exceptional customer service are essential.

Key Responsibilities

Day-to-Day Property Operations

  • Support and help manage the daily operations of a Class A commercial office property.
  • Serve as a visible and professional presence on-site and respond promptly to tenant and building needs.
  • Coordinate with the Senior Property Manager, engineering team, vendors, and other building personnel to ensure smooth daily operations.
  • Conduct regular property inspections to monitor building conditions, cleanliness, safety, and overall presentation.
  • Identify operational issues, determine appropriate next steps, and follow through to resolution.
  • Think proactively and independently when addressing day-to-day property challenges.
  • Help ensure the property consistently maintains a high standard of appearance, service, and operational excellence.

Security & Janitorial Oversight

  • Oversee the daily performance and activities of security and janitorial staff.
  • Monitor staffing levels, service quality, schedules, and adherence to property standards.
  • Conduct regular inspections of common areas, tenant areas, entrances, restrooms, and other building spaces.
  • Address service concerns and coordinate corrective action with vendors and building personnel.
  • Maintain strong working relationships with security, janitorial, engineering, and other on-site teams.
  • Escalate recurring or significant operational concerns to the Senior Property Manager as appropriate.

Tenant Relations & Tenant Portal Management

  • Serve as a responsive, professional point of contact for tenants and building occupants.
  • Manage the property's tenant portal on a daily basis, ensuring information, announcements, requests, and communications are accurate and current.
  • Monitor tenant requests and ensure they are appropriately routed, tracked, and resolved.
  • Review tenant portal activity and work order requests to identify recurring issues or service trends.
  • Communicate with tenants regarding building operations, service requests, events, notices, and other property-related matters.
  • Maintain a high level of tenant satisfaction through proactive communication and follow-through.

Tenant Events & Engagement

  • Develop, coordinate, and manage tenant appreciation events and engagement activities designed to strengthen tenant relationships and enhance the overall tenant experience.
  • Coordinate event logistics, vendors, catering, communications, scheduling, and on-site execution.
  • Examples of recent tenant events include tenant appreciation breakfasts and ice cream socials.
  • Partner with building staff and vendors to ensure events are professionally executed and aligned with Class A property standards.
  • Track event participation and feedback and identify opportunities for future tenant engagement.

Financial Management

  • Support the preparation and management of annual property budgets.
  • Review and approve accounts payable in accordance with established budgets and procedures.
  • Partner with accounting to review financial reports, identify variances, and assist with corrective actions.
  • Monitor rent collections and assist with resolving tenant delinquencies and default-related matters.
  • Assist with financial reporting and other property management documentation.

Leasing & Tenant Administration

  • Coordinate tenant move-ins and move-outs in accordance with lease requirements and property procedures.
  • Maintain current knowledge of tenant lease abstracts, obligations, and critical dates.
  • Assist with tracking lease expirations, renewals, expansions, and other leasing activity.
  • Support lease administration and ensure relevant tenant requirements are communicated to appropriate departments.
  • Assist the Senior Property Manager with tenant correspondence and lease-related matters.

Tenant Services & Work Order Management

  • Monitor the tenant work order system daily to ensure requests are properly logged, assigned, tracked, and completed.
  • Review open and aging work orders, response times, and completion times.
  • Coordinate with engineering and vendors to ensure timely resolution of tenant requests.
  • Follow up with tenants regarding outstanding work orders and service issues.
  • Maintain accurate work order records to support tenant billing, audits, and reporting.
  • Escalate recurring or unresolved service issues as appropriate.

Facilities & Vendor Management

  • Coordinate routine maintenance requests, vendor scheduling, and service follow-up.
  • Monitor vendor performance and ensure services are delivered in accordance with property expectations.
  • Maintain accurate property documentation, including site plans, vendor contracts, insurance records, and related files.
  • Follow up with vendors regarding Certificate of Insurance (COI) compliance as needed.
  • Collaborate with engineering staff regarding building systems, maintenance activities, and vendor oversight.
  • Support sustainability and ESG-related property initiatives.

Capital Projects & Risk Management

  • Assist with tenant improvement projects, capital projects, and vendor-related work.
  • Obtain and coordinate proposals, track project schedules, and assist with project documentation.
  • Support emergency preparedness and property risk-management procedures.
  • Monitor safety practices and assist with compliance related to applicable regulations.
  • Assist with identifying potential property risks and bringing issues to management's attention.

Reporting & Administrative Support

  • Prepare property operations, tenant service, project status, and other reports for management review.
  • Maintain accurate property records and documentation.
  • Assist with recurring reports, checklists, inspections, and management materials.
  • Liaise with tenants, vendors, engineering personnel, accounting, leasing, and other stakeholders.
  • Provide support for additional properties within the portfolio as assigned.

Required Qualifications

  • 2-3+ years of commercial property management experience required.
  • Experience supporting or managing Class A commercial office properties strongly preferred.
  • Bachelor's degree preferred; equivalent relevant experience will be considered.
  • Demonstrated experience with day-to-day commercial property operations.
  • Experience working with tenants, vendors, engineering teams, security, and janitorial personnel.
  • Strong organizational skills and the ability to prioritize multiple time-sensitive responsibilities.
  • Excellent verbal and written communication skills.
  • Strong customer service and relationship-management skills.
  • Ability to think on your feet, troubleshoot issues, and take initiative without needing constant direction.
  • Strong attention to detail and follow-through.
  • Proficiency with Microsoft Office, particularly Excel.
  • Experience with property management systems such as MRI, Yardi, Nexus, or AvidXchange is a plus.
  • Experience with tenant portals and work order/facilities management platforms is preferred.
  • BOMA RPA, IREM CPM coursework, or a similar property management designation is a plus.
  • Valid driver's license and ability to travel to other properties or office locations as needed.

  • Ability to perform occasional light physical tasks, including lifting items weighing less than 20 pounds.
  • Occasional travel to other properties or office locations may be required.

Compensation

$70,000-$75,000 annually, based on qualifications and experience.
