We are seeking a polished, proactive, and experienced Assistant Property Manager for a direct-hire opportunity supporting a premier Class A commercial office property in downtown Washington, DC. The Assistant Property Manager will play an active role in daily property operations, tenant relations, financial administration, facilities coordination, vendor management, tenant communications, work-order management, leasing administration, and tenant events.

Responsibilities

  • Support the day-to-day operation of a Class A commercial office property.
  • Maintain a highly visible and professional presence throughout the building.
  • Conduct property inspections and ensure the property meets established standards for appearance, cleanliness, safety, and service.
  • Identify operational challenges, develop solutions, and follow issues through to resolution.
  • Coordinate closely with the Senior Property Manager, engineering, security, janitorial teams, vendors, and building personnel.
  • Serve as a trusted point of contact for tenants and building occupants.
  • Respond to tenant needs, questions, service requests, and operational concerns.
  • Manage the tenant portal and ensure announcements, requests, and building communications are accurate and timely.
  • Monitor tenant requests and work orders from initial submission through completion.
  • Identify recurring service issues and proactively address trends.
  • Maintain strong tenant relationships through responsiveness, communication, and follow-through.
  • Oversee the daily performance of security and janitorial teams.
  • Monitor staffing, schedules, service quality, and compliance with property standards.
  • Coordinate maintenance requests, vendor scheduling, and service follow-up.
  • Monitor vendor performance and address service deficiencies.
  • Maintain vendor contracts, insurance records, site plans, and related property documentation.
  • Coordinate with engineering regarding building systems, maintenance, and facilities operations.
  • Support sustainability and ESG initiatives.
  • Assist with annual property budgets and ongoing financial administration.
  • Review accounts payable and work with accounting on financial reports and variances.
  • Monitor rent collections and assist with tenant delinquency matters.
  • Support lease administration, including lease abstracts, critical dates, renewals, expansions, and expirations.
  • Coordinate tenant move-ins and move-outs.
  • Assist with tenant correspondence and lease-related matters.
  • Assist with tenant improvement and capital projects.
  • Obtain proposals, track project schedules, and maintain project documentation.
  • Support emergency preparedness and property risk-management initiatives.
  • Coordinate tenant appreciation events, including breakfasts, ice cream socials, and other engagement activities.
  • Manage event logistics, vendors, catering, communications, and on-site execution.
  • Prepare operational, tenant service, and project status reports.
  • Maintain accurate property records and management documentation.
  • Complete inspections, checklists, recurring reports, and other administrative requirements.
  • Collaborate with tenants, vendors, engineering, accounting, leasing, and property management stakeholders.
