The Center for Information Technology Research in the Interest of Society and the Banatao Institute (CITRIS) is a multicampus University of California research institute that develops information technology solutions for society's most pressing challenges. CITRIS at UC Santa Cruz supports interdisciplinary research and innovation and connects faculty, students, and external partners across academia, government, industry, and nonprofit organizations.

JOB SUMMARY

Under the general direction of the CITRIS Director at UC Santa Cruz, the Executive Director independently oversees the operation of CITRIS programs at UC Santa Cruz and plays a key role in developing and implementing short- and long-term plans for UCSC CITRIS programs and events.

As a liaison for CITRIS, the Executive Director stewards ongoing relationships with faculty and researchers at UC Santa Cruz, other UC campuses participating in CITRIS, other educational institutions, and nonprofit and corporate members. The Executive Director also facilitates new collaborative relationships between UC Santa Cruz and partners, including nonprofit and corporate members.

The Executive Director is responsible for a variety of functions for CITRIS at UC Santa Cruz, including financial administration, budget planning, planning and organizing CITRIS-related meetings and events, developing and managing websites, coordinating infrastructure, overseeing and evaluating of CITRIS-sponsored projects, coordinating research and incubator proposal calls and submissions, and mentoring UCSC CITRIS staff.

APPOINTMENT INFORMATION

Budgeted Salary: $113,505 - $164,325/year. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

40% - Fiscal Management

  • Assists the CITRIS Director with budget planning and implementation.
  • Communicates fiscal and budgetary issues to the Director.
  • Determines the financial impact of programmatic decisions using knowledge of University administrative organization, policies, procedures, and practices.
  • Resolves fiscal problems and determines the optimal use of funds.
  • In collaboration with the Director, develops administrative policies and procedures to meet evolving fiscal requirements.
  • Monitors budgets for all CITRIS awards. This includes preparing monthly, quarterly, and annual financial reports and grant activity summaries; anticipating potential funding shortfalls and surpluses; and maximizing the use of funds through appropriate reallocations.
  • In coordination with the Baskin Engineering research accountant and the Office of Sponsored Projects, determines the need for and takes action to implement budget revisions and no-cost time extensions.
  • Oversees award spending to alleviate or minimize the need for cost transfers and coordinates year-end budget closeout.
  • Interfaces with the Office of Sponsored Projects, outside agencies, faculty, and collaborating researchers to coordinate or facilitate the submission of grant proposals and reports, including budget preparation, text editing, and data or information entry.
  • Oversees general office business transactions.
  • Exercises signature authority for purchase orders, campus recharges, and travel and direct-payment reimbursements.
  • Coordinates CITRIS academic and staff appointments.

30% - Program & Outreach Liaison

  • Develops and overses CITRIS outreach strategies.
  • Coordinates and recruits visitors to UC Santa Cruz from CITRIS-related fields for lectures, events, long-term research exchanges, and other purposes.
  • Gathers and distills information about UC Santa Cruz faculty, staff, graduate students, and postdoctoral scholars participating in CITRIS research and incubator projects, presentations, and degree programs.
  • Shares information about CITRIS research and programs with CITRIS affiliates and other audiences, as appropriate.
  • Assists with student placement in internships and jobs.
  • Writes and posts material to CITRIS and UC Santa Cruz websites.
  • Facilitates and helps lead CITRIS Faculty Advisory Board meetings in partnership with the Faculty Director.
  • Serves as the liaison and key resource person responsible for managing all aspects of CITRIS Faculty Advisory Board meetings.
  • Works with the Director and research faculty to develop meeting agendas and programs.
  • Hires and supervises student workers and oversees the work of independent contractors.
  • Plans venues for telecast and poster sessions.
  • Develops correspondence and mailing lists for internal and external communications.
  • Coordinates principal investigator participation in research and incubator project proposals and updates.
  • Coordinates the evaluation of CITRIS programs and implements modifications, as required.
  • Develops alternative and innovative solutions to a full range of programmatic and operational issues.
  • Presents information regarding the financial status of CITRIS.
  • Coordinates meeting presenters, including guest and student speakers.
  • Develops and maintains the Faculty Advisory Board webpage.
  • Oversees funding and expenditures associated with Faculty Advisory Board meetings.
  • Oversees event-day logistics and acts quickly to resolve problems that may arise.
  • Serves as the liaison and key resource person responsible for all aspects of CITRIS research symposia.
  • Works with the Director and research faculty to develop symposium agendas and programs.
  • Plans venues for events, workshops and poster sessions.
  • Develops, implements, and manages online registration.
  • Fundraises within and beyond UCSC.
  • Develops correspondence and manages mailing lists for internal and external communications.
  • Coordinates faculty participation in planning and organizing sessions and workshops.
  • Coordinates symposium presenters, including guest and student speakers.
  • Develops and maintains the symposium webpage.
  • Oversees funding and expenditures associated with symposia.
  • Oversees event-day logistics and acts quickly to resolve problems that may arise.

30% - Program Management & Administration

  • Serves as the liaison and key resource person responsible for all aspects of the CITRIS Research Program.
  • Facilitates and coordinates the development of new collaborations among Baskin Engineering faculty, postdoctoral scholars, and corporate members.
  • Defines proposal calls, drafts and distributes solicitation letters, follows up on responses, and drafts and distributes award notifications.
  • Prepares reports and maintains an electronic archive of student papers, posters, and program metrics.
  • Organizes, coordinates, and tracks metric touchpoints for research and incubator project teams consisting of faculty advisors, graduate students, postdoctoral scholars, corporate staff mentors, and outside advisors.
  • Coordinates and tracks monthly progress reports, quarterly videoconference meetings, semiannual reports for Industry Advisory Board meetings, summer internships with corporate members, research visits, conferences, Industry Advisory Board meetings, and symposium presentations.
  • Oversees the fiscal activities of the CITRIS Research and Incubator Program.
  • Administration: In collaboration with the CITRIS Director at UC Santa Cruz and the Faculty Advisory Board, evaluates CITRIS programs at UC Santa Cruz, recommends changes to program content, policies, and procedures, and determines short- and long-range goals and objectives in accordance with CITRIS academic and research plans.
  • Identifies and pursues funding opportunities (from federal, state, private, and other external sources) and coordinates with CITRIS teams and appropriate campus offices to develop and submit proposals to support CITRIS programs and operational costs.
  • Implements program modifications as determined by the CITRIS Director.
  • Updates CITRIS policies at UC Santa Cruz and mission statements to reflect program changes.
  • Develops alternative and innovative solutions to a full range of problems.
  • Keeps the CITRIS Director and Faculty Advisory Board informed of program status, issues, and possible recruitment needs.
  • Schedules and participates in regular CITRIS videoconference meetings with the CITRIS Director and corporate members.
  • Develops and distributes agendas and background documents, records and distributes minutes, and tracks and follows up on action items.
  • Maintains equipment inventory records and orders parts and services for the maintenance and repair of CITRIS computing infrastructure.

REQUIRED QUALIFICATIONS

  • Advanced degree in a related area and/or equivalent experience or training.
  • Academic background and experience in science communication, including writing and editing reports of research activities.
  • Advanced knowledge of administrative, budgetary, human resources, and financial principles and practices.
  • Advanced verbal and written communication skills, including the ability to compose a variety of documents at a professional level and participate in meetings in which a group's interests and abilities are represented persuasively, accurately, tactfully, and creatively.
  • Analytical skills sufficient to assimilate information from oral and written sources, develop broad knowledge of campus policies and procedures, and interpret and apply those requirements with clarity and accuracy to individual circumstances.
  • Advanced ability to think creatively and independently about concepts requiring advanced analytical skills.
  • Excellent communication and interpersonal skills, sound judgment regarding a range of complex issues, and the tact and diplomacy necessary to collaborate effectively with individuals within CITRIS, the University, and outside organizations.
  • Ability to cultivate professional relationships with faculty across CITRIS campuses and with staff and researchers in academic, government, and industry institutions.
  • Ability to work effectively with colleagues from diverse backgrounds.
  • Experience with project management and demonstrated leadership skills, including exceptional organizational skills sufficient to coordinate multiple ongoing projects of significant complexity, develop new programs, balance competing needs, and attend to detail.
  • Experience in financial planning, analysis, and budgeting sufficient to develop and manage budgets, including demonstrated quantitative skills in preparing statistical reports and budget projections, and demonstrated experience identifying and pursuing external funding opportunities.

PREFERRED QUALIFICATIONS

  • Financial and administrative experience in a university setting, with a demonstrated understanding of research environments.
