HJF is seeking a proactive, detail-oriented, and highly organized Stakeholder Engagement Coordinator to support the National Institute for Defense Health Cooperation (NIDHC) in Bethesda, MD. Embedded within the Military-Civilian Medical Surge Program (MCMSP), this role delivers essential administrative and operational support to facilitate seamless coordination across military and civilian partners.

The Stakeholder Engagement Coordinator provides essential administrative, operational, and tactical support to optimize the daily execution and outreach of the MCMSP. Working under the direction of the Director, Deputy Director, and Program Manager, this role serves as the central administrative hub for managing the complex schedules and multi-agency interactions of program leadership.

The Coordinator plays a pivotal role in proactive calendar management, coordinating high-level meeting schedules, and directing logistics for multi-agency convenings and site visits across military, civilian, and academic partnerships. Additionally, the Coordinator maintains stakeholder and engagement trackers and manages a centralized Google Site. The Coordinator provides the essential administrative and logistical foundation that keeps partners informed, engaged, and aligned with the program.


  • Provides high-level administrative and operational support under supervisory direction to optimize daily workflow and program efficiency.
  • Drafts, edits, refines, and distributes external presentations, emails, social media posts, and mass communications to ensure clarity, accuracy, and program alignment.
  • Proactively manages schedules, prepares targeted agendas, captures actionable meeting minutes, and tracks follow-up items through completion.
  • Coordinates end-to-end logistics - including venue procurement, registration, calendar management, and collaterals - for public-facing events.
  • Collaborates closely with the MCMSP and Front Office teams to standardize communication protocols and maintain alignment across knowledge management processes.
  • Maintains a comprehensive, up-to-date registry of stakeholders and engagement histories to track outreach impact.
  • Support the management of Program websites serving as the primary hub for internal and external stakeholder communications, resources sharing, and networking.
  • Acts as a clear, responsible liaison for external partners, managing inquiries with prompt, professional customer service to facilitate seamless information flow.
  • Directs logistics for complex, multi-agency meetings and site visits, including agendas, calendar synchronization, facility coordination, travel itineraries, security access, and collaterals.
  • Perform other duties and responsibilities as assigned or directed by the supervisor.

Education and Experience

  • Bachelor's Degree required.
  • Minimum of 0 - 2 years of relevant experience in program coordination, communications, administration, or related fields.

Required Knowledge, Skills, and Abilities

  • Strong written and verbal communication skills, with the ability to draft clear, professional documents and emails.
  • Knowledge of project coordination principles, office automation tools, and information management best practices.
  • Ability to work independently, exercise sound judgment, and prioritize tasks effectively.
  • Exceptional ability to manage multiple projects, prioritize shifting deadlines, and maintain meticulous records.
  • Familiarity with federal organizations or military health systems is a plus.
  • High competence in managing complex calendars, tracking multi-step action items, and prioritizing simultaneous demands.
  • Practical skill in coordinating complex engagements, virtual/hybrid meetings, and travel itineraries.
  • Ability to maintain professional rapport and interact effectively with high-level executives, external partners, and multi-agency reps.
  • Ability to pivot quickly in fast-paced environments.
  • Ability to obtain a T1/Public Trust background check.

Work Environment

  • This position will take place primarily in a office setting.

Compensation

  • The annual salary range for this position is $52,800-$80,000. Actual salary will be determined based on experience, education, etc.
