JOB SUMMARY

The Office Administrative Assistant serves as the primary point of contact for visitors and incoming communications while providing administrative support across the organization. This position coordinates mail and deliveries, maintains office communication resources, equipment, supplies, and common areas, and helps ensure efficient, professional day-to-day office operations.


MINIMUM QUALIFICATIONS


  • A working knowledge of general office procedures and administrative support normally acquired through one year experience as a receptionist, office coordinator, or front desk associate; and,
  • A high school diploma or equivalent.


KEY SKILLS & COMPETENCIES


  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Abillity to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office applications and standard office equipment.
  • Strong organizational skills with attention to detail and accuracy.


JOB RESPONSIBILITIES


  • Serve as the primary point of contact for incoming communications by answering, screening, transferring calls, taking and relaying messages, and notifying employees of visitor arrivals.
  • Provide administrative support by preparing correspondence, reports, and other documents; performing data entry; maintaining filing systems; and assisting various departments as needed.
  • Receive, process, and distribute incoming mail, packages, deliveries, bid requests, and other materials; sign for deliveries when required.
  • Maintain and update office communication resources, including the company telephone directory, and provide telephone system orientation to new employees as needed.
  • Manage office equipment and supplies by maintaining office machines, coordinating service and repairs, ordering supplies, monitoring inventory levels, and organizing copy/media areas and storage spaces.
  • Maintain the reception area and office common spaces, ensuring they are tidy and presentable.
  • Maintain office security by performing opening and closing procedures, including locking facilities and activating/deactivating the alarm system as required.
  • Perform other tasks and special projects as assigned.


COMPENSATION & BENEFITS


  • Wage range: $21 - 24 hourly.
  • Medical, dental, vision, life insurance, and 401k with company match.
