Why us, why now?


Reporting directly to the Manager, Documentation Services, the associate position plays a key role in supporting the advancement of the medical education unit by assisting with high-stakes application processing. Team members review, validate, and process application documentation for accuracy and completeness, ensuring information aligns with established procedures. The role also provides general operational support, including data entry and customer service tasks, to maintain efficiency. By ensuring timely and accurate processing, this position contributes to departmental goals and the broader strategic initiatives of the service unit.

How you will make an impact?



Application Processing:



  • Perform in-depth evaluation of applicant information contained in AMCAS and Fee Assistance applications against various types of supporting documentation.
  • Matching official transcripts and supporting documentation to applications to ensure accuracy and compliance.
  • Maintain production totals and adhere to rigorous processing schedules and deadlines.
  • Research and resolve transcript- and application-related inquiries in a timely and professional manner.
  • Meet with team lead to review quality reports and discuss performance trends.
  • Safeguard applicant information by maintaining confidentiality and following established data security protocols.



Training:



  • Collaborate with team lead associates and training staff to design, update, and enhance training materials and content for each application cycle.
  • Conduct quality audits of new hires' application processing work, reviewing questions and performance, and provide constructive feedback to team lead staff to support development and ensure compliance with departmental standards.
  • Partner with the manager and team lead associates to plan, develop, and deliver lesson plans, job aids, and training resources required for document processing.
  • Monitor and evaluate the effectiveness of training initiatives, recommending improvements to strengthen learning outcomes and overall team productivity.



Subject Matter Expert:



  • Maintain expert level knowledge of AMCAS and Fee Assistance policies and procedures.
  • Engage actively and contribute as needed to all projects, including discovery and requirements sessions and User Acceptance Testing.
  • Attend and participate in required and optional organizational meetings, events, and initiatives.



Other Duties As Assigned:



  • Additional duties to be defined are based on evolving operational needs, process improvements, or system modernization initiatives.
What you will bring to the role?

Required Qualifications:

Minimum Education: High School Diploma

Preferred Education: Associate's Degree or equivalent professional experience

Minimum Experience of Related Work:1-2 years of related work experience

Additional Minimum Experience:


  • At least 1-2 years of experience in a high-volume, detail-oriented processing environment.
  • Demonstrated ability to manage multiple priorities while maintaining accuracy and meeting deadlines.

Preferred Experience:


  • Experience working with customer service platforms (e.g., Salesforce) and data management systems.
  • Familiarity with Fee Assistance Program policies and procedures is strongly preferred.

Remote Work Eligibility

This position is eligible for remote work within the Washington DC / Baltimore metro area only.

Compensation Grade Range

$44,455.00-$52,300.00

Multiple factors are taken into consideration to arrive at the final hourly rate/annual salary to be offered to the selected candidate. Factors may include, but are not limited to, the scope and responsibilities of the role, the selected candidate's work experience, education and training, as well as internal equity, market, and business considerations.

If a bachelor's degree is required, related work experience may be substituted in some positions. One year of college course work at an accredited institution is equivalent to one year of related work experience.
