Salome Urena Campus (4600 Broadway) $40,000 - $45,000/Year Position Summary: The Data Coordinator is responsible for the management and compliance requirements of data for all program components that include SONYC Extended Day Programs for MS 322, MS 293, Adolescent Literacy, Summer Rising, Holiday Program, TEENS in Action, Adult Literacy, and, parent and community engagement programs. Responsibilities:
- Work closely with Office of Performance Management and the Youth Division's Director of Strategic Impact to ensure the accuracy and integrity of all data systems.
- Engage in data analysis, reporting, and data visualization.
- Ensures applicants' eligibility for contract compliance for all DYCD, DOE, OCS, ExpandED Schools and privately funded programs, a total of ten contracts.
- Maintain up-to-date and accurate records of student enrollment, attendance and participation in databases.
- Ensure student files contain all necessary and up-to-date participation documentation.
- Attend database management trainings as required by funders and/or division leadership.
- Understand program goals, monitor progress towards meeting these goals, and communicate this progress to program leadership on a regular basis.
- Assist with STEPBACK data gathering, compiling, reporting and presentation of student and programmatic outcomes.
- Support the Targeted Academic Intervention process by providing a system to gather and document data for review.
- Work with each program component to collect quantifiable as well as assessment data.
- Assist in the completion and processing of reports for the site and division.
- Contribute to annual presentation for administrators (OCS Collaborative Planning, NYSAN) on each program's assessment information.
- Manages the site's Youth Services Information System (CSIS) and responsible for ensuring data entry for all program components SONYC afterschool, Adolescent Literacy, Teens In Action, Adult Literacy, SU Campus summer camp, parent and community engagement programs.
- Supervise a total of four part-time staff, two whose responsibilities include daily data entry; the other staff assist with recruitment, application, collection of student level data, demographics and student enrollment.
- Create, distribute, and collect attendance sheets for all site based and remote programs.
- Generate data reports at regular intervals throughout the year to check for accurate and complete data collection to address discrepancies in a timely manner.
- Identify and resolve any data issues resulting with missing student and service information.
- Develop data standards, procedures and training for part-time staff and student intern's data input into CSIS.
- Develop and maintain documentation of data systems, standards and procedures for reporting purposes.
- Design and implement custom pages/data tables to improve functionality of CSIS and reporting with support from the Office of Performance Management.
- Assist with the preparation and submission of Workscopes for MS 322, MS 293 and Adolescent Literacy, including all contracts that require workscopes.
- Ensure the daily Input of afterschool attendance for MS 322, MS 293 and Adolescent Literacy youth in DYCD online and any contract on site.
- Work collaboratively with Office of Performance Management to address inquiries regarding information sharing and to trouble shoot concerns that arise with data systems glitches.
- Key member of the site's management team
- Assist in day to day operations of the division/program as needed
- Assume a supervisory role in support of the afterschool when key administrators are out of the building for meetings, conferences and leave of absence.
- Provide advocacy and follow up with parents for submission of required documentation for their child's enrollment into the afterschool program.
- Translation of program information, flyers for Health Fair and the Thanksgiving Dinner, parent letters, Mind in the Making handouts, Power Point Presentations for parent workshops and the like for distribution to parents and community members.
- Perform all other related duties as assigned by his/her supervisor or a member of Children's Aid senior management.
Minimum Qualifications:
- Associates Degree required or equivalent credits
- At least three years' experience working with data entry management, analysis, reporting and supervision of staff
- Bilingual English/Spanish required
