DEPARTMENT: SOCIAL SERVICES

POSITION TITLE: INTAKE COORDINATOR

STATUS: FULL TIME, NON-EXEMPT

PAY RATE: $16.00 PER HOUR

EDUCATION & WORK EXPERIENCE:



  • Social Service Intake and assessment experience preferred.
  • Minimum of 1 year's experience in one or more of the following fields: customer service and or reception.
  • Knowledge of Social Services and local resources with demonstrated ability to provide resource referral information.

  • Must have a valid Montana State driver's license and ability to pass TSA MVR check and in-house driving test.
  • Must complete and adhere to Protecting the Mission Requirements and guidelines, including the ability to pass TSA background check

SCOPE OF POSITION-INTAKE COORDINATOR:



  • The Social Service Intake Receptionist is an integral member of the Social Services team. The position is responsible for each client's initial impression of the Salvation Army and is key to providing each client with a supportive and positive experience by performing duties with integrity, compassion and professionalism. The position functions include but are not limited to: processing assistance requests and referrals, answering phones and directing calls while maintaining a professional and highly organized waiting room area. Responsible for intake interviews for the Social Services department including general assistance and transitional living. This position will promote the Salvation Army and its programs.


ESSENTIAL DUTIES & RESPONSIBILITIES-INTAKE COORDINATOR



  • Responsible for intake of clients by phone, email, social media, and walk-ins to determine need and eligibility based upon Helena Social Services programs policies.
  • Interview clients by gathering detailed information about needs, financial situation, personal evaluation and personal history.
  • Responsible for scheduling appointments with clients.
  • Responsible for management and all aspects and operational oversight of the Food Pantry.
  • Responsible for inventory control, food ordering, receiving and warehousing.
  • Recruits, directs and is responsible for volunteers serving in the Food Pantry.
  • Responsible for food service management during times of seasonal assistance.
  • Create/Update information as needed in WellSky Database
  • Provide accurate monthly statistics to Programs Manager
  • Answer incoming calls, return calls and forward messages in a timely manner
  • Serve as receptionist for all Social Service programs
  • Assist Programs Manager as needed
  • Attend Staff meetings or community meetings as directed
  • Seasonal assistance duties as required or assigned
  • All other duties as assigned


SOFTWARE-RELATED SKILLS:



  • Microsoft Word & Excel & Microsoft Outlook required
  • Working knowledge of integrated database applications and ability to use new software programs with basic training
  • Working knowledge of standard office equipment such as copier, multiple phone line system, printers, and fax


SCOPE OF POSITION-FOOD PANTRY COORDINATOR:



  • Responsible to manage all Food Pantry functions under the direction and in coordination with the Social Programs Manager. Position includes but not limited to maintaining inventory, ordering and receiving, stocking, packing, and distributing food boxes. Recruits, directs and is responsible for volunteers serving the food pantry, and during times of seasonal assistance.

PHYSICAL REQUIREMENTS:



  • Ability to sit, walk, stand, bend, squat, climb, kneel and twist on an intermittent or continuous basis
  • Ability to grasp, push, pull objects such as files, file cabinet drawers and reach overhead
  • Ability to operate a telephone and computer
  • Ability to lift up to 25 lbs (usually file boxes)
  • Ability to access and process information from a computer
  • Ability to understand written information

Health Insurance: Low bi-weekly premiums ($34.62) for employee only coverage, Kaiser HMO for those residing in a Kaiser service area, Anthem EPO/PPO is available for those residing outside of a Kaiser service area. Voluntary +1 and +family coverage at additional cost. Delta Dental DHMO and DPPO dental insurance offered starting at $2.31 bi-weekly cost. Employees are covered by an employer paid life insurance policy. Voluntary supplemental life, short-term and long-term disability plans are available.

Retirement Plans: Employer-funded Money Purchase Pension Plan (Defined Contribution Plan) 50% vested at 5 years eligible service time, employee funded voluntary 403(b) options

Parental Leave: Benefit will be one week (5 business days) of paid leave at the employee's normal rate of pay for births, adoptions and foster placements.

Sick Leave: 12 days annually accruing from day one, eligible for use after 3 months' service time.

Paid Vacation: 2 weeks annually accruing from day one, for non-exempt positions. 4 weeks annually accruing from day one, for exempt positions. Accrued vacation eligible for use after 6 months' service time.

Paid Holidays: 13 designated holidays + 1 floating holiday per year
