Position Title Academic Support & Information Specialist, Workforce Development

Work Schedule 9:30 a.m. -1:30 p.m.

General Responsibilities
Works closely with the coordinator to provide outreach, recruitment, enrollment, programming, and operational support at the specialist level for the workforce development area. Serves as a point of contact for workforce development program inquiries from students, instructors and businesses and provides timely responses, working from a strong knowledge base of all workforce development programs and applying customer service best practices. Applies skills and tools for data collection, retrieval, and visualization to track and report progress and outcomes. Resourcefully resolves routine challenges and issues related to area of responsibility.
Work Performed

  • Responds knowledgeably to email, telephone and in person inquiries and communicates information for the workforce development programs (non-Allied Health). Advises students about career pathways and course options.
  • Maintains a strong knowledge base of workforce development programs (non-Allied Health).
  • Implements all aspects of the online course seat-sharing partnerships with community colleges.
  • Tracks student enrollments and adjusts section capacities to maximize section enrollment.
  • Updates Canvas online course curriculum and design for selected courses.
  • Provides excellent customer service to students, faculty, and external partners and resolves student issues.
  • Manages and updates databases, performs data entry, generates reports.
  • Designs and creates surveys, polls, and related data reports and summaries to gather and interpret relevant data.
  • Ensures classroom readiness and operations, including specific course delivery requirements by monitoring enrollments, responding to instructor needs, and delegating course cancellations, book orders, inventory, and room assignments.
  • Verifies and provides accurate program information for the college's marketing venues including web pages, schedules, brochures, mailers, email marketing, and social media.
  • Delegates and organizes work for clerical assistants.
  • Performs other duties as assigned.

  • AA Degree (or equivalent college) required; Bachelor's degree preferred.
  • Minimum of 2 years of experience working in an office environment, or higher education, or related experience required.
  • Working knowledge of technology skills required, including Microsoft Office suite (365, Word, Excel), data entry, presentations. Experience with videoconferencing, document sharing, project management tools and other collaboration tools preferred.
  • Working knowledge of basic office equipment required (computer, copier, fax, etc.). Knowledge of audio-visual equipment and video conferencing equipment desirable or will train.
  • Excellent organizational skills with attention to detail; effective communication skills, interpersonal skills, customer service skills and ability to interact with diverse populations in a variety of modalities: oral, written, email, phone, videoconference, in person or virtually.
  • Ability to work independently, organize resources, and be accountable for completing assignments with minimal or no supervision. Time management skills are essential.
  • Regular attendance at the assigned campus location is required.
  • Able to maintain strict confidentiality and exercise good judgment while working independently and following college protocols.
  • Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.
