Salary/Compensation Statement:

Required Education:
High school graduation or equivalent is required.
Required Experience:

  • Two (2) years of general office experience performing the full range of office support duties.
  • Public contact experience.

Preferred QUALIFICATIONS


Preferred Education

  • One (1) year of post-secondary education in business administration, accounting, or closely related field.

  • General office experience performing the full range of office support duties in a non-profit or educational environment.
  • Experience working in a large facilities maintenance or project management office environment with proven customer service performance preferred.
  • Experience using college (online) programs such as Banner, ExpressLane, and 25Live.

Position Purpose:
Provides general administrative support to all facilities management and planning departments, including but not limited to: office staff, planning, trades, sustainability, and bond construction office staff.
Essential Functions:

  • Provide project administration support.
  • Manage utility spreadsheet updates.
  • Schedule appointments.
  • Take meeting minutes.
  • Process work orders, purchase orders, invoices, and requests for checks.
  • Provide backup support and shift coverage for office staff.
  • Provide reliable customer-oriented reception and dispatch services associated with phone calls, radio, emails, and work order requests.
  • Monitor various alarm systems and dispatches Facilities Management and Planning (FMP) personnel or Public Safety Officers as needed.
  • Coordinate and process in a timely manner all motor pool scheduling, tracking charges, vehicle check-out and in, vehicle titles, fuel use, fuel purchases, and associated spreadsheet updates, and reporting.
  • General office administrative support such as office supply inventories/ordering/restocking, radio purchases, updating calendars, writing and filing purchase orders and work orders, copying, faxing, filing, organization of office records, mail sorting, memo writing, creation of Weekly department notices, updates college operating procedures, processing safety incident reports, and coordinating and supporting department social events.
  • Highly skilled computer processing utilizing:

    • the MS Office Software, with particular experience in Word, Excel, and PowerPoint.
    • Google Suite including Google Docs, Google Sheets, and Google Slides.

    • PDF software including Adobe Acrobat or Bluebeam.



  • Processing purchase card statements.
  • Supports and participates in department safety and diversity training.
  • Support Facilities Management & Planning (FMP) departments through the efficient and accurate use of scheduling and database software programs (such as SCT Banner, ExpressLane, and 25Live ).
  • Coordinate the work of students participating in Federal work study and/or Learn 'N Earn program assignments within FMP departments.
  • Problem solve and manage sensitive information with appropriate awareness of FERPA standards; maintain confidentiality and sensitivity to the privacy needs of students.
  • Other related duties as assigned.

Supervision Statement:
Reports to and works under the general supervision of a Division/Department chair or other supervisor. An Administrative Specialist or Administrative Coordinator may provide daily supervision. Work is performed independently according to College and department policies. The supervisor is available to consult on problems and policy decisions. Work is reviewed for the quantity and quality of work provided to the department.

This position may train, assign work, provide priorities and check the work of student assistants, volunteers and hourly employees. This position may be involved with hiring process and orienting staff to procedures.
Physical Demands/Working Environment:
This position works indoors and is exposed to usual office working conditions that include office noises and interruptions, such as printers, telephones, and visitors. This position requires that an employee is able to sit or stand for extended periods of time; perform cognitive and psychometric work for more than six (6) hours a day. Ability to scan periodically multiple security camera monitors for up to an eight (8) hour shift. Work may require transporting materials up to twenty-five (25) pounds. Work safely.
Knowledge Skills and Abilities:
Knowledge of

  • Office procedures, with emphasis on organizing workflow and word-processing.
  • Administrative procedures including planning, budgeting, personnel and report preparation.
  • Word-processing, desktop publishing, graphics, spreadsheet and database software.
