The Administrative Coordinator, Echocardiography owns a portfolio of administrative and operational responsibilities in support of the Cardiac Division within the Department of Anesthesia, Perioperative and Pain Medicine (DAPPM), specifically supporting the Echo program. This role plays a crucial role in maintaining efficiency of daily Echo operations.

The Administrative Coordinator must be a strong collaborator with administrative and clinical colleagues across departments, as well as with external vendors, and should be strong communicator both verbally and in writing. The role involves significant documentation activities using EPIC and other database software, and requires strong attention to detail and organizational skills.

This is an evening shift role with approximate hours of 11am - 7pm.

Administrative responsibilities:

* Prepares documentation to be sent to the National Board of Echocardiography for all fellows/attendings being certified/re-certified.

* Organizes division Echo protocols, quality control, and liaison with Intersocietal Accreditation Commission (IAC) to provide documentation during audits.

* Serves as liaison between BWH IT/Biomed and vendor's IT to solve complex issues and keep machines up to date.

* Owns image management for departmental educational purposes (downloading images for educational talks, etc.).

* Completes database entry for a variety of data support purposes.

* Orders and maintains inventories/supplies for intraoperative echo (e.g. additional cables for machine connections, bite protectors, probe cleaning sponges, other supplies as necessary).

* Completes studies and ensures billing compliance.

* Organizes clinical training for faculty on new ultrasound technologies.

* Completes QA reports for IAC.

Other responsibilities:

* Set up echo equipment for cases in the OR, EP lab, Cath lab and occasionally in the ICU, ensuring safe operation and proper media connections for image display.

* Rapidly assist with machine and TEE/TTE probe set-up during emergencies occurring in the OR or ICU.

* Ensures division and hospital policies and protocols are followed for equipment and patients' safety.

* Diagnoses and resolves common equipment malfunctions; collaborates with bioengineering teams.

* Other duties as assigned.

Qualifications

* High school diploma or equivalent; Bachelor's preferred

* At least 2 years total experience in cardiac/vascular preferred
