Description

Job Title: Secretary

This position is responsible for providing administrative support to the Principal and Assistant Principal in the following areas: coordinating office activities, scheduling appointments, greeting visitors, and preparing internal/external communications. Additional duties associated with fiscal activities like program purchase orders, allocation, material ordering and payment fulfillment are expected. The secretary must use initiative and judgment in the performance of duties and is expected to relieve Principals of minor office details. The work involves confidential and personal matters. The Secretary should be able to use independent judgment in determining various issues that do not involve major deviations from established policy or procedure. Responsibility for varied public contacts is a very important part in this position. The Secretary should understand program needs and anticipate/respond accordingly.

Responsibilites:

1. Completes routine office duties such as composing & typing internal/external correspondence, scheduling & organizing meetings, screening and directing phone calls and maintaining daily attendance roster.

2. Creates filing systems, databases and spreadsheets for maintenance of student, personnel and program records.

3. Welcomes and directs visitors by greeting them, in person and on the telephone, answers and refers inquiries and maintains employee and department directories.

4. Maintains an accurate record of requests for personal leave and emergency days.

5. Acts as school registrar and keeps official school roster current.

6. Assists in maintenance of financial records including petty cash fund and student account funds and banking duties associated with each.

7. Operates various office equipment including faxes, copiers, etc.

8. Assists other staff personnel when necessary as per collective bargaining agreement. Notifies building administrator of secretarial work overload.

9. Collects and maintains current data for Special Education Division tracking system. Sends information to the Central Office for processing.

10. Assists in preparation of annual student attendance report.

11. Meets and directs visitors while facilitating building security by following procedures including operating the electronic entrance system, monitoring the logbook and issuing visitor badges.

12. Collects, maintains and distributes vocational students' grades and progress reports to corresponding schools.

13. Completes monthly student/staff status reports.

14. Assists in scheduling IEP meetings.

15. Completes Board Agenda items, PAFs and Agenda Enclosure forms as needed for personnel activity.

16. Completes posting request forms as needed for vacancies within the building through Docuclass.

17. Performs other secretarial related duties as assigned by the building administrator.

18. Above assignments may vary according to the building


Qualifications

1. High School diploma/GED required; associate degree preferred.

2. One year of related experience within an office/school environment required.

3. Basic knowledge of computer applications such as Word, Access, Excel, PowerPoint and Outlook.

4. Experience with IEPwriter and Student Information Systems is preferred.

5. Excellent communication skills, both written and verbal, required.

6. Minimum 60 wpm typing speed preferred.

7. Basic knowledge of office machines (copiers, fax, typewriter, telephone, etc.)

8. Strong organizational skills.

9. Excellent customer service skills.

10. Ability to prioritize tasks, meet deadlines and work under pressure.

11. Ability to work as part of a team.

12. Ability to travel between facilities as needed.

13. Strong commitment to total quality standards.

14. Ability to be flexible and perform other tasks as assigned.

15. Ability to comply with the AIU Conduct Policy.

Additional Requirements:

1. Current Act 114, Act 34, Act 151 and NSOR Clearances required prior to an offer (Must be dated within 1 year of hire date).

2. School Personnel Health Record (Form H511.340) must be completed and received by Human Resources prior to hire date.

Salary: AIUFT Secretary Salary Scale (Step 1 $29,111.00)
