Job Summary

Reporting to the EHS Associate Director, the EHS Data Coordinator works in a dynamic, highly matrixed environment to coordinate & administer systems for managing information, office operations, and projects. They also function with a high degree of autonomy, and skillfully assists with matters of a strategic and/or sensitive nature.

The incumbent will provide administrative and data entry support to EH&S recharge operations, including both the Fire Prevention Team, the Hazardous Building Materials Program, and other recharge programs as needed. The EHS Data Coordinator provides direct support to staff time billing, tracking billable hours to projects, coordinating with Facilities Services, Real Estate Services, and EVCP Business Office units. The EHS Data Coordinator will compile data from various inspections/surveys, create and maintain databases to track data, verify currency of data and perform regular database backups. Data includes input text-based and numerical information from source documents, sort and organize hard copies of paperwork after entering data electronically, review data for deficiencies or errors and assist with special projects that requiring data entry, along with filling out report forms and surveys. The position will capitalize on new and existing software solutions including UCOP's Risk and Safety Solutions and UCSF's Research Information Online.

The EHS Data Coordinator uses professional management concepts, coordinates, and provides support to EH&S operations, teams, and staff. Responsibilities may include the development of safety bulletins, newsletters, white papers, position memos, and other required communications in support of EH&S program areas. These efforts include routinely working on site at UCSF's Mission Bay campus, Parnassus campus, and may include occasional travel to offsite/satellite facilities. The incumbent applies organization policies and procedures to resolve routine issues or refers to appropriate service provider, including coordination with EVCP shared Business Services Office Manager. Follows standard departmental practices and procedures in analyzing situations or data from which answers can be readily obtained; manages department communications such as shared department and group email accounts, main department phone line, and other communication streams as needed. May receive mail and packages for staff. Coordinates bookings and use of conference rooms. Provides administrative oversight of department's fleet of vehicles, deconflicts reservations for staff, tracks fuel/expense receipts, and managers maintenance/repairs as needed.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $75,700 - $123,100 (Annual Rate).

Department Description

The UCSF Office of Environment, Health and Safety (EH&S) is responsible for ensuring a safe and healthy environment at UCSF for all faculty, staff, students, patients and visitors. EH&S is responsible for supporting regulatory compliance for all campus workplace safety and environmental compliance issues including: biosafety, chemical safety, environmental protection, ergonomics, facilities safety, fire and life safety, industrial hygiene, radiation safety, laser safety, DEA controlled substance compliance, hazardous materials, spill response, food facility compliance and safety, safety training, personal protective equipment (PPE), asbestos, hazardous waste management, etc. The department also provides substantial safety and environmental program support to the UCSF Health System and several UCSF affiliates.

Required Qualifications


  • Bachelor's degree in related area and / or equivalent experience / training
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills
  • Solid knowledge of common University-specific computer application programs
  • Ability to use discretion and maintain confidentiality
  • Strong skills in short-term planning, analysis, problem-solving, and customer service
  • Small to mid-level project management skills
  • Attention to detail
  • Demonstrated excellent time management skills
  • Advanced knowledge of Microsoft Office and Office 365 (including, Excel, Word, Outlook, Teams, and PowerPoint), and Zoom
  • Ability to use discretion and maintain confidentiality
  • Excellent customer service skills

Preferred Qualifications


  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management and procedures for staff and academic employees
  • Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees
  • Familiarity with Environment, Health and Safety operations and terminology
